Before implementation, order-related processing was handled manually daily and, at times, required intensive weekly processing as volumes increased. Today, order data is automatically imported into QuickBooks, and tasks that previously took approximately 1 hour can now be completed in 10–15 minutes.

Manual Order Entry Limited Scalability

IOMIC USA, with a three-person team, manages North American sales of golf grips produced in Japan. The General Manager oversees accounting, sales, supply chain, and reporting.

As the direct-to-consumer web store grew, daily order volume also increased:

  • Approximately 10–20 orders per day under normal conditions
  • 40–50+ orders on weekends

Manual entry in QuickBooks became time-consuming as order volumes grew, especially during peak periods. The team needed a more efficient way to manage increasing order volumes.

Solution

Automating Data Migration While Preserving Accounting Workflow

IOMIC implemented a system that automatically retrieves order data from its web store and generates a QuickBooks-compatible CSV file. The CSV file is imported into QuickBooks through Business Importer.

A critical requirement was maintaining the existing QuickBooks process. Rather than replacing the accounting system, automation was introduced at the data preparation stage.

Manual web order entry into QuickBooks was removed as a routine task. Now, order data is automatically prepared and processed in batches, freeing staff for higher-value work and stabilizing order management.

Processing time per cycle was reduced from approximately 1 hour to 10–15 minutes. Tasks that were previously handled manually on a daily basis, and sometimes required additional weekly processing during high-volume periods, are now completed through automated data imports.

Minor order corrections still occur a few times per month, but they can typically be resolved quickly.
